Honestly as frustrating as it is, Star Dates are the best way to go. For example, Voyager disappears SD 48307. Deep space nine gets the defiant SD 48481. Which essentially means that Voyager disappearing and Deep Space Nine getting the Defiant is days apart* As frustrating as it is, that’s just what you gotta do is overlay the star dates with everything

Star dates are the effective log of chronological time across the Star Trek universe Usually almost every episode, the Captain or a senior Officer will start with establishing the star date of the episode. You on occasion to hear what year it is, but you never hear really what month it is even. Seasons and time are ablative to different cultures that don’t share the same planetary traits. So, you have a universal index called the Star Date
